Visitor management

Visitor management app for housing societies

The guard records the visitor, the home says yes or no on its phone, and the society keeps a clear log. In English, Gujarati and Hindi.

The new visitor sheet: the home, the visitor’s name, a photo and the number of people

A society gate sees guests, delivery riders, cabs, plumbers, maids and drivers all day. Paper registers miss names, intercoms ring in empty homes, and later nobody can say who came in. Ekvasa gives the guard one simple app, asks every home before a new visitor walks in, and gives the office a log it can search. This page explains how it works, step by step. The full list is under Gate and guards.

The home approves every new visitor

The guard picks the home, types the visitor’s name and takes a photo. The home gets a notification with that photo and taps Allow or Deny; the guard’s screen changes the moment they answer, a light green card to let them in and a light red one to stop them. Several people arriving together go in as one entry, shown as “Ramesh Patel +2”.

If nobody answers in 45 seconds, the home is reminded and the guard sees the home’s numbers to call; an answer given on the call is recorded too. A visitor who is approved but not yet inside stays on the guard’s screen with a reminder every few minutes, and old entries leave the gate board by themselves, so the board always shows what is happening now.

Guest codes and QR passes for expected visitors

When a resident knows someone is coming, the gate does not need to ask the home at all. The resident makes a one-time 6-digit guest pass for a guest, a delivery, a cab or a service visit, valid from 4 hours to 7 days, and sends it on WhatsApp from their own phone. The code also comes as a QR: the guard scans it on the Pass code screen, or types the digits on the same keypad.

Regular visitors such as a driver, a tutor or the dhobi get a standing code of their own for the days and hours the home sets, and the home is told each time they come in.

Deliveries and parcels without the confusion

For the next few hours a home can tell the gate how to handle its deliveries: ask me, leave it at the gate, or send it up. A parcel left at the gate is logged with a photo and the home is told. Every parcel gets a 4-digit hand-over code that only the home and the gate can see; the guard asks for it at hand-over, and if a parcel goes without it, the home is told why.

Daily staff, checked in with one tap

Maids, cooks, drivers and nannies are listed with the days they come. The guard checks them in with one tap and the home is told. Each home sees the days each person came this month, with the times, ready for salary day. The office can give a profile its Verified mark, and someone the office blocks is refused at the gate.

Vehicles, long stays and emergencies

The guard types a number plate, or its last four characters, and sees the home, the parking slot and the sticker, never a name or a phone number. If the society sets a limit, from 1 to 24 hours, the gate and the home are told when a visitor stays longer. A resident in trouble holds SOS for two seconds: every guard, the admins and the rest of the home get an alarm, and a guard taps I’m going so the resident sees who is coming.

Works without internet, with a log for the office

Gate phones lose signal. Ekvasa keeps what the gate needs on the phone: homes, passes, codes, staff and vehicles. Entries wait on the phone and go through in order, with their true time, when the network is back. With no network at all, the guard calls the home and taps what it said.

The office sees today’s visitors, or the last 7 or 30 days, with photos, search and filters, updating live. Visitor photos are deleted after 30 days, and each resident sees only the visits to their own home since they joined it.

Common questions

Does every visitor need the home’s approval?

A new walk-in visitor does: the guard asks the home in the app. Guests with a pass code, regular visitors with their own code and daily staff go in without a new request, and the home is told.

What if the home does not answer?

After 45 seconds the home is reminded and the guard sees its numbers to call. The answer given on the call is recorded in the log, just like a tap in the app.
