Maintenance billing

Society maintenance billing and collection

Bills with your society’s own charge heads, paid by UPI straight into the society’s account and confirmed with a receipt. Ekvasa never holds the money.

Collecting maintenance is the job most committees dread: bills typed in a spreadsheet, payments that arrive without a name, and reminders sent one by one on WhatsApp. Ekvasa turns it into one routine. The office runs the bills, residents see and pay them in the app, and every payment ends in a receipt that both sides can find later. Here is how each part works. The full list is under Committee and office.

Bills built from your own charge heads

A society bills more than maintenance: the sinking fund, the repair fund, water, parking and the rest. In Ekvasa each of these is a charge head, set for each home by carpet area or by home type. The office runs bills monthly, quarterly or yearly, sees a preview first, and every bill is numbered in the society’s own series.

A bill is never edited once it has gone out. A mistake is corrected with a credit note or a debit note, so the history stays complete and the books stay right.

UPI payment straight to the society’s account

Every bill carries a UPI link and a QR with the society’s own UPI ID, the exact amount and the bill number. The resident pays from any UPI app and the money goes straight to the society’s bank account. Ekvasa never holds it, and every change to where residents pay is kept and told to every admin.

Reminders and late fees, on the society’s rules

Residents get notifications before the due date and after it, so the office does not have to chase each home. A late fee stays off unless the society turns it on; it can be a fixed amount or simple interest on what is overdue, after the grace days the society chooses.

GST on the bill, when the society needs it

A society registered for GST adds its GSTIN, and the bill shows GST as CGST and SGST. When the society starts, the opening balances from its old registers are carried in, so no home’s dues are lost in the move.

Dues, statements and reports

The office sees dues by how many days they are overdue, each home’s statement, and a month-by-month report with an Excel export. Bills and receipts can be printed for homes that want paper. Every bill, receipt and note also posts itself to the society’s double-entry books, so billing and society accounting always agree.

Common questions

Does the money pass through Ekvasa?

No. Residents pay by UPI straight to the society’s own account, using the society’s UPI ID. Ekvasa shows the bill and records the payment, but never holds the money.

Can residents pay in cash or by cheque?

Yes. The office records cash, cheques and bank transfers against the home, and the resident gets the same receipt in the app.

Can we bring in dues from our old register?

Yes. During setup the Ekvasa team brings in your homes, residents and opening dues from Excel templates, each with a preview before anything is saved. See how onboarding works.
